Cut overlapping AI subscriptions
If three tools on your card statement all “draft,” “summarize,” or “automate,” you don’t need another dashboard. You need a cut list — with conditions written down so finance and ops agree.

The overlap problem (plain)
AI vendors sell categories (writing, meetings, automation, SEO). Buyers buy jobs. When two seats do the same job, one is usually shelfware. Annual plans make the mistake expensive.
A simple rule
For each tool, write two lines before you renew:
- Pays for itself when… (hours saved, tools replaced, or revenue/risk avoided)
- Skip if… (honest exit — when you should not buy or should cancel)
If you can’t fill both lines, you don’t have a purchase thesis.

Strongest keep / cut stories
Tool-vs-tool only — not client cases. Same job → one winner. Use the free seat-waste calculator to quantify, then open the matching review before you renew.
Otter vs Fireflies (meeting notes)
Same job: meeting notes / action capture.
- KEEP one if recurring meetings lose decisions.
- CUT the second meeting-notes seat if overlap is total.

Fathom Free vs paid
Start on Free; do not upgrade because a paywall appeared.
- KEEP Free while it covers the recording / summaries you use.
- WAIT on Team/Business until a named CRM or collab workflow requires the paid tier.

Frase vs Surfer (SEO assist)
Same SEO content-assist job class: structure / optimize pages you publish.
- KEEP the one that matches your weekly publish cadence (and article caps).
- CUT overlap — two SEO assistants for one content owner is shelfware.
- WAIT if there is no content owner shipping weekly.

Prefer a human memo?
If you already know the tools and want keep/cut/replace written for your stack: $99 AI toolkit audit — async, ~48 business hours after intake.
Example Example — not a client case
Illustrative cut list only (fictional framing):
- CUT second “AI writer” seat if free LLM drafts already cover internal docs and you have no distribution channel for more content.
- KEEP meeting notes if two recurring meetings lose decisions weekly.
- REPLACE overlapping automation tools into one credit-based scenario owner (see Make review).
